Exhibiting in Orlando

 

Orlando is a sunny, energetic and all around fun trade show destination. It offers many combined venue/hotel properties as well as a vibrant Convention Center area along International Drive. It’s not a stretch to understand the appeal of adding a short family vacation to the start or end of a trade show in Orlando.

Humidity and afternoon rain showers in the summer months is often the only deterrent for enjoying some time outside of the convention hall at Disneyworld, Universal Studios, and/or SeaWorld.

Orlando is one of those cities where it might make sense to avoid a rental car. Toll roads are encountered directly after leaving the airport headed for the city and resorts area. That, combined with high parking fees may be reason enough for you to consider hopping on a shuttle or grabbing an Uber or Lyft from the airport to your destination.

Rental Car:

Rental cars are inexpensive for a weekly rental in Orlando and should be considered if you are wanting to add days to either end of your trip for visiting a theme park or two. Most of the rental car companies are located on airport property and are a short walk from the terminal.

Uber/Lyft:

Both Uber and its closest competitor Lyft, operate in Orlando. The Orange County Convention Center has designated areas for pick-up and drop-off. Watch for signs and/or volunteers directing you to these areas.

Bus/Shuttles:

These shared forms of transportation are VERY prevalent in Orlando. Disney offers bus service to it’s various properties as part of it’s hotel/vacation packages. International Drive has a trolley that connects much of the Convention Center corridor to dining and shopping areas. A five day pass is a mere $9.00 and can make getting around I-Drive easy. Many hotels will also offer third-party shuttles to/from the theme parks.
Tip: These third-party shared shuttles will have VERY specific pick-up and drop-off schedules. Make sure you understand when they will be picking you up from the theme park and where. If you miss your designated pick-up you will be on your own for securing transportation back to your hotel. Which can be difficult when competing with hundreds of other tourists for a spot.

Taxi:

Taxis are available in Orlando as with most tourist cities. However, it is strongly suggested that you use only metered taxis. There are non-metered taxis that some hotels will ‘refer’ to when asked by a guest to call a taxi. Mears is a reputable taxi cab company with over 600 up-to-date cars in their fleet.

What Matters

The main hotel areas in Orlando are International Drive, Lake Buena Vista and Walt Disney World. Orlando has several budget options along International Drive and close to the various theme parks as well.

Budget Minded Accomodations

It may come as a surprise that even Disney has budget-minded properties within their array of on property accommodations. If the trade show is being held in conjunction with a Disney property, we recommend finding out the options for staying at or nearby the venue. Their on-property transportation is top-notch and very convenient so something definitely worth considering.

The other option we like in Orlando is the Extended Stay of America chain. They have several properties that are within walking distance to the Orange County Convention Center as well as the major theme parks. They will typically have full kitchens for saving money on eating out. Which brings us to our next subject…

What Matters

We shop in Orlando more than any other trade show city! Whether to stock our hotel room with food and water or to pick-up items that just don’t travel well, there are several general merchandise and grocery stores with easy access to both I-Drive and the theme parks.

Shopping for Necessities:

Whole Foods and Walmart are both located on Turkey Lake Rd. Easily accessed from International Drive and Sand Lake Rd. Both have what you need for stocking your room or booth with convenience foods and beverages and left behind items. There is also a Publix on Universal Blvd just south of the Orange County Convention Center. Walgreen’s locations pepper the resort and convention center areas for easy access to pharmacy options.

Shopping for Fun:

Orlando offers (2) Premium Outlets locations for your shopping pleasure. The Orlando International Premium Outlets can be reached by taking the I-Drive Trolley to the North and the Orlando Vineland Premium Outlets are located on the Southern end of the I-Drive route. These are perfect for getting your Ralph Lauren or Michael Kors on.

We can all agree there’s something special about a good landscape, or cityscape view while you’re wining and dining. And even better if there’s a patio involved. Orlando seems to have more than it’s fair share of restaurants with lovely patios. Here are a few of our favorites.

Patio Must:

Maggiano’s on International Drive is situated in an outdoor shopping and dining area. The patio is quiet and intimate, food is delicious, and service is detailed making it top-notched for enjoying a glass of wine after a hard day greeting attendees on the trade show floor.

Disney Must:

If you are staying at or close by Walt Disney World then we recommend visiting Disney Springs for dining with a view plus, plus, plus. There are over 56 dining options with choices like Paddlefish, STK and House of Blues – The Front Porch how can one go wrong? Oh, and did we mention there’s shopping too? Disney shuttles can take you here but there is also free parking available.

It’s always something. Product, collateral, giveaways…you name it and you’ve probably had to hall it into an exhibit hall.

POV Service:

Orange County Convention Center gives exhibitors several options for getting boxes from a Personally Owned Vehicle (POV) to their booth space. Look for the POV Check-in.

Depending on the show, once you’ve checked-in there are a few options for unloading your vehicle. 1) Utilize the General Contractor’s (GES or Freeman) cartload service. Their freight personal will unload your items and deliver them to your booth space for a fee. 2) Let them know that you will be self-unloading your vehicle and either (a) hand carry materials or (b) wait for dock space to hand cart your materials.

Luggage Carts/Bell Service:

Most other properties will allow you to wheel your items in using your own luggage cart or a hotel luggage trolley.
Tip: If using the hotel’s luggage trolley, it usually comes with a bellman. In which case, be prepared to provide a monetary tip for their assistance.

Print and Sign Shops:

As with many convention centers around the U.S. Orange County Convention Center has 3 FedEx Office locations inside the West, North and South Concourses. They can assist with large format signs, banners and other materials conveniently on-site. There may be a premium for the convenience of these services however. Fastsigns located close to the convention center on Universal Blvd can be another good option for quick turns or emergencies. Our local favorite is Color Reflections for a quick assist and turn around for most substrates even fabric.
